Instructions for adding Group Session records in HomeKeeperMN that represent your group education workshops like homebuyer education, financial literacy, non-delinquency post-purchase, etc.
Log into HomeKeeperMN and click the Group Sessions tab.
Click the “New” button to create a new Group Session record
Fill in the details about the workshop and click the “Save” button. Make sure to fill in important optional fields like Report to HUD?, Fee, and Registration Capacity.

If anything changes like the date or time of the session, you can search for the workshop and update the record by clicking on the pencil icons.

You can scroll to the bottom of the page to the “Links” section to retrieve that session’s custom intake link.

Once participants register, go into their Counseling/Education (C/E) record to perform quality control (QC) prior to the workshop.
You can find the registrations for participants and links to their Service Files and C/E records under the “Intakes & Surveys” tab in the form of Outcome records with the Status field indicating if they have completed the post-session survey, in the case of homebuyer education workshops.

The Counseling/Education tab shows all the folks who completed an intake for the workshop. This is the place for you to do your QC work, including marking them as reportable to HUD (only one C/E per household, aka Service File, can be reported to HUD), updating their Status to “Attended” or “No Show”, and marking them as having paid the fee.

You will do your QC regarding the disclosure form on the client’s Service File. The system will automatically check if clients did the verification step of submitting the disclosure form and if it has been completed, it will check the Program Disclosure E-Signature Verified checkbox. If the client did not click the verification link in their email, you’ll a warning icon next to the checkbox. You can also click on the Privacy/Disclosure Signature Link field to see for yourself that the verification step wasn’t completed.

Post-session surveys are automatically sent out for homebuyer education workshops once the client’s Status is changed to “Attended”. If you need to resend the disclosure form or the post-session survey, you can find a client-specific links in the “Links” section of their C/E record.
